Who we are
Channel Education Systems ("Channel", "we") runs the school management and fees platform at portal.channeledu.com.ng and this website. This policy explains how we handle personal data under the Nigeria Data Protection Act 2023.
Schools decide what information about their students, parents and staff goes into Channel. For that information the school is the data controller and Channel processes it on the school's behalf. For our own records, such as school sign-ups and enquiries to us, Channel is the controller.
What we collect
- Schools: name, address, contact details, registration details and the school's bank account for fee payments.
- Staff: name, email, phone, role and, where the school uses payroll, salary and bank details, BVN, NIN, tax ID and pension PIN.
- Parents and guardians: name, email, phone and WhatsApp number, and which children they're linked to.
- Students: name, class, enrolment number, attendance, test scores and report cards, documents the school uploads, and any health information the school chooses to record (such as blood group, genotype or allergies).
- Payments: bills, amounts, payment references, proof of payment uploaded by parents, and bank alert emails a school forwards to us so payments can be matched.
- Account and security records: sign-in times, the device used to sign in, and a record of important changes made in the platform.
We do not collect or store card details. Fees are paid into the school's own bank account; Channel does not hold school fees.
How we use it
- To run the platform for the school: billing, matching payments to the right bills, receipts, results, attendance and payroll.
- To send the messages a school asks us to send, by email, SMS or WhatsApp: fee reminders, receipts, sign-in codes and school announcements. We do not send marketing messages.
- To keep accounts secure and to investigate problems.
- To meet legal obligations, such as keeping financial records.
We never sell personal data.
Who we share it with
Only with service providers that help us run Channel, under contracts that limit what they may do with it:
| Provider | What for |
|---|---|
| Render | Runs our application server |
| Supabase | Database and file storage |
| Google Firebase | Hosts the website and web app |
| Termii, Meta (WhatsApp) | Delivers SMS and WhatsApp messages |
| Our email provider | Delivers emails |
| Cloudflare | Domain and receiving forwarded bank alerts |
| Monnify (Moniepoint) | Payment services, where a school uses them |
We also share information when the law requires it. Some of these providers store data outside Nigeria; where they do, we rely on the safeguards the Nigeria Data Protection Act allows for such transfers.
How we protect it
- All connections to Channel are encrypted.
- Especially sensitive details, such as students' health information and staff bank details, BVN and NIN, are also encrypted in our database.
- Each person only sees what their role needs, and important changes are logged.
- Bank alerts are only accepted with the bank's own digital signature, and only for the school they were sent to.
How long we keep it
We keep a school's information while the school uses Channel. When a school leaves, we return or delete its information on request, except records we must keep by law, such as financial records.
Your rights
You can ask to see, correct or delete your personal data, to object to how it's used, or to receive a copy of it. For information a school holds about you or your child, please contact the school first; we will help the school respond. You can also contact us directly.
If you're unhappy with how your data is handled, you can complain to the Nigeria Data Protection Commission.
Children
Student information is provided by the school, not collected from children directly. Parents can ask the school to see or correct their child's information.
